Match Refreshments to Meeting Length

Short meetings of one hour duration are easily supplied with water and coffee. Other meetings of duration greater than one hour should be supplied with refreshments that last the duration of the meeting. A snack in the mid-morning would be suitable for a half-day meeting and a proper lunch time for a full-day meeting.

Ask About Dietary Requirements Early

Send a quick question to attendees before the day, to find out if anyone has any allergies or if they are vegetarians. This way you can make sure that no one feels left out and you’re not stuck for last minute refreshments on the morning of the meeting.

Choose Foods That Sustain Focus

Most starchy foods are not good for long meetings as they can cause slumps in the late afternoon. Therefore provide plenty of light foods, e.g. fresh fruit, nuts, sandwiches on whole grain bread and refreshments such as water, coffee and tea.

Self-Serve Versus Catered

Self-serve tea and coffee stations can be ideal for the more casual meeting. Such stations enable attendees to replenish their drinks as needed without having to break away from the meeting. Catered options are more suitable for larger, more formalized meetings, when attendees can be assured that everything will run smoothly and that they will not be left to manage refreshments in some way.

Confirm the Details With Your Venue

The refreshments provided by your meeting room venue may be offered as an in-house catering package and could include provision for outside food and drink. It is best to check what is provided and where it is to be served when booking your meeting room venue. For some meeting room venues in Worcester, catering can be provided by the venue or by an outside supplier. Click here for more information on meeting room venues in Worcester.

It’s amazing how a little bit of forward thinking can mean your refreshments are looked after for the duration of your meeting and help keep a meeting and its attendees at their best.
